How to Compress a PDF for Visa Application
Visa application portals — VFS Global, TLS Contact, and embassy online systems — typically limit document uploads to 1MB–5MB per file. Passport scans, bank statements, and employment letters scanned at full resolution can easily exceed these limits. This guide covers which documents to compress, which level to use for each, and how to ensure nothing is rejected.
Upload Limits by Portal Type
| Portal | Upload Limit | Recommended Size |
|---|---|---|
| VFS Global | 1MB–2MB per file | Under 500KB |
| TLS Contact | 2MB–5MB per file | Under 1MB |
| US Visa (CEAC) | 4MB per file | Under 2MB |
| UK Visa (UKVI) | 6MB per file | Under 3MB |
| Schengen / EU embassy portals | 2MB–5MB per file | Under 1MB |
| Australian e-Visa | 5MB per file | Under 2MB |
| Japan e-Visa | 2MB per file | Under 1MB |
VFS Global has some of the strictest limits — under 1MB per document is safest for all VFS submissions. When in doubt, aim for under 500KB per file.
Which Compression Level per Document Type
- Passport scan (bio data page): Balanced — passport number, MRZ code, expiry date, and photo must all be clearly legible
- Bank statements (3–6 months): Balanced — transaction figures and closing balances are reviewed carefully
- Employment letter / salary confirmation: Balanced — company letterhead, salary amount, and signature matter
- Tax assessment / EPF statement: Balanced — figures and reference numbers are critical
- IC / national ID copy: Maximum — name and ID number just need to be readable
- Travel itinerary / hotel booking: Maximum — text-heavy documents with no critical image detail
- Travel insurance certificate: Balanced — policy number and coverage amounts should be clear
- Invitation letter: Balanced — contains address and contact details that may be verified
Step-by-Step: Compress and Submit
Scan Your Documents
Scan physical documents using your phone scanner app. For passport: scan the bio data page flat at 200 DPI — avoid photographing at an angle. For bank statements: download directly from your bank's app as a PDF rather than scanning a printed copy — digital PDFs are cleaner and compress better.
Open ShrinkPDF
Go to shrinkpdf.fyi. Your passport and financial documents are processed locally — nothing is uploaded to any server.
Compress Each Document
Upload and compress one document at a time. Use Balanced for financial and identity documents; Maximum for itineraries and booking confirmations. Download each file and save to a dedicated folder like "Visa Documents — Compressed".
Verify Every Document
Open each compressed PDF and check: passport number visible, MRZ code readable, all figures clear, signatures visible. A rejected visa document can delay your application by weeks — spend 30 seconds checking each file.
Upload to the Portal
Upload each document to the correct field in the visa portal. If the portal rejects a file for being too large, try Maximum compression. If still rejected, use ShrinkPDF's Split tool to divide multi-page bank statements into separate files.
Some visa portals only accept JPG, not PDF, for passport scans. If the portal rejects your PDF, use ShrinkPDF's PDF to Images tool to convert the page to JPG, then upload the JPG. Always read the portal's specific format and size requirements before uploading.
If your bank offers downloadable PDF statements, use those instead of printing and scanning. Digital bank statement PDFs are typically 200–500KB already and compress further to under 100KB. Scanned printed copies are image-heavy and much larger.
Privacy — Your Passport Stays on Your Device
Passport scans and financial documents are among the most sensitive personal data you handle. ShrinkPDF processes all files entirely in your browser using local JavaScript — your passport number, photo, and bank figures are never transmitted to any server. You can verify this by turning off WiFi after loading the page — compression still works, confirming no internet connection is used during processing.
